3 Key Steps to Protect Sensitive Documentation




Protecting your sensitive documentation is a matter we can't afford to ignore. It is hard to believe it, but statistics shows that there are always people who would use the chance to get access to such information aiming personal advantage or personal gain. If you often operate with such type of papers, these are the few basic rules you need to follow to have piece of mind. 

1. Keep sensitive documentation locked

Make sure you have a cabinet with lock and know where is the key any moment of the day. Do not give it whoever is asking, even your boss. If she/he needs something help them to get it and then lock the doors. Make sure you write down what and when was taken as later you may need to prove it. 

2. Beware of sharing sensitive information 

Most security bridges occur when people share information. Do not send attached lists with sensitive data via e-mail. Sometimes scammers are simply genius and we may get data requests from very familiar people (like your boss) that look really authentic. Just add it to an check USB device and give it personally. This is how you will know this information is really requested. 

3. Don't need it - Shred it 

Keeping Sensitive information you don't use anymore is unnecessary complication.Archive it as soon as you can and keep it locked as long as it is required by the law. Keeping old contracts, personal information or other sensitive data just adds additional responsibility you don't really need. Controlled destruction is the best method to be sure the job is done right.
